Your text message strategy is your game-plan for how you plan to use messaging to increase the productivity and efficiency of your organization.

Messaging can be incorporated in many areas of your business, it is a marketing tool as much as it is a personnel management or customer management tool.

The beauty of messaging is it's versatility since everyone with a cellphone already has the ability to send and receive texts.

The simple fact is that text messages perform better than email. They get a 98% open rate and a 45% response rate.

Below I'll go over how our different features can be used best in your messaging strategy.

📣 Broadcasts: 1-to-Many Messaging 📣

This is the "BCC" Email but for text messaging.

This is a great way to share promotions, send updates or alert personnel to any calendar events.

Each Group Broadcast is sent as a 1-on-1 private message to each group member.

As people reply the messages will come in as private messages in your MessageDesk Inbox.

💬 Autoresponders: Automate replies 💬

Create automated replies and automate how contacts enter groups with MessageDesk Autoresponders.

Great for creating text message campaigns like:

  • "Text DONATE to ###-###-##### for our donation link"

  • "Text Subscribe to ###-###-#### to join our subscriber list"

  • "Text SCHEDULE to set up a meeting with me"

Each time a contact enters an Autoresponder (when the text the keyword) we'll automatically add them to a group for you.

This way you can Broadcasts new messages out to your campaign group over time.

🧠 Templates, Tags, and Custom Fields 🧠

Once you start messaging contacts you'll realize that personalization is the key to long term success.

That's why we've created message templates, dynamic Tags and custom fields.

So you can personalize your messages with ease 😎

For example, we let you insert dynamic Tags like {{First Name}} or {{Organization Name}} into messages to automatically pull information from the contacts' profile.

Tags allow for you to auto-fill information unique to your contact into a preformed text.

by default we provide 3 basic Tags:

  • First Name - pulls in the contacts first name

  • Last Name - pulls in the contacts last name

  • Organization Name - pulls in your Company's name

To create additional Tags simply create custom fields - each custom field will be usable as a dynamic tag.

Once you've added Tags to your message you may want to reuse that message again.

That's why we created Message Templates.

Templates let you quickly save and re-use text messages so you don't have to retype it or copy/paste it manually.

Templates should be used to improve the efficiency of your messaging strategy. With tags and custom fields, they can be personalized to the individual who receives it.

Contact Management: Sort Contacts into Different Groups for Messaging

Messaging works best when it's targeted. Meaning it's crucial to create multiple lists or groups of contacts based on shared traits.

Common groupings for businesses are:

  • Leads (subscriber or mailing list who aren't customers yet)

  • Customers (active or paying customers)

  • Prospects (usually Leads who completed a meeting or deserve more 1-on-1 outreach)

This is why MessageDesk makes it easy to sort contacts into different groups - so you can get more out of your messaging.

  1. Add Contacts to a Group from a Spreadsheet

  2. Static groups: Manually add contacts one-by-one (more info below)

  3. Smart Groups: Group contacts based on data or attributes (more info below)

Static Groups don't change. You add contacts one-by-one and you can add or remove as you please.

Smart Groups do the work for you. They are made to add members to the group for you. You just decide who gets added and why. From there, the smart group will add everyone who fits your parameters.
